Purpose - Application Fit Sessions match your business
processes with the way the software works.
If we have a good match, we have a fit, if not, we have a gap. Gaps will be tracked as issues, and they
will be resolved throughout the course of the project. The application Fit Sessions are broken down
into working sessions and review sessions.

The
working sessions are attended by team members and by your key business experts.
Team members are expected to have a basic understanding of PeopleSoft functionality. Business experts supplement the collective
knowledge and experience brought to the meeting, to help make better
decisions.

The
review sessions are held on the last day of the Fit session, and provide a
review of important issues identified and decisions made to a wider audience of
managers and directors. The same person
may function as a business expert in one session, and only attend the review
for another fit session.
Schedule & Participants - Fit sessions will run from
9:00 AM to Noon and from 1:30 to 4:30 PM.
These times will accommodate most people’s schedule, including time for
daily activities such as reviewing e-mail, and still devotes a full six hours
to the fit session process. These
sessions are fairly intense, so a substantial block of time is necessary to
ensure the desired results are attained.
A typical fit session consists of roughly a dozen participants,
including 6 to 8 team members, 3 to 4 business experts, a session leader and a
scribe.
All fit sessions include a discussion of how to use
the functions in the software. The
emphasis will be on implementing the software without making modifications.
Most financial fit sessions last from two to four days. The duration of the HR fit sessions will be
longer, but the elapsed time includes setup activities performed by team
members at their workstations.
ChartField Fit Session – The purpose of this
session is to determine your organization’s strategic requirements for storing
and retrieving financial information.
In addition to team members and key business experts, several directors
at the Steering Committee level will be invited to join. Their comments, recommendations and
expectations will be used to help set the tone and direction for all of the
Application Fit Sessions. Prior to the
strategic session, a smaller group will convene the week of 9/20 to develop a
proposed structure for the ChartFields.

Fit sessions will be scheduled later for Inventory,
Asset Management, Accounts Receivable & Billing, Budget, Payroll, and Time
& Labor.
Attendees at the Fit
Sessions will include three types of participants, in either a Working
role, or an Oversight role:

Team members will be responsible for obtaining the
necessary results from the Fit sessions.

Business experts will help team members by providing
detailed information about business processes, and assist in making decisions.

Other participants, including key stake holders,
directors, and Steering committee members will attend wrap-up sessions only to
review decisions made and issues still outstanding.
