Volunteer Background Checks

It is a district requirement that volunteers who may have potential for direct, unsupervised contact with students must be screened for a criminal background.

In all instances of volunteers who may have direct, unsupervised contact with students, the school or program must ensure that an individual complete the Application to Volunteer form.  Please send completed forms to the Security Services office (BESC) for processsing. In order to protect the privacy of volunteers and to lessen the burden for your office staff, please follow these procedures:

  • Have all volunteers complete the Information Form and maintain this in your office files. Do not send this form to Security Services, as a copy will not be kept. Keep a log of the names of all volunteers at your site.
  • Volunteers having potential for direct, unsupervised contact must also fill out the individual Application to Volunteer Criminal. The social security number is optional, but all other information, to include date of birth, must be completed fully or the form may be sent back for completion. Only one form per person is allowed. Two people cannot be listed on one form. Also, the form must have been completed and signed/dated within the last 3 months. Forms that have been signed and dated more than 3 months ago will be returned to the school for a current application.
  • Forward the completed Application to Volunteer and the Volunteer Application Cover Sheet  to Security Services at the BESC. 
  • Do not keep any copies of the Application to Volunteer forms. This is confidential information and must be stored correctly. Security Services will maintain the appropriate copies.
  • When results are returned, it will be provided to principals by phone, fax, or email.
  • Volunteers cannot have direct, unsupervised contact with students until the principal receives these results.

The following link will allow those granted authorization to check the volunteer clearance database by last name and date of birth. The information provided will be the last date cleared and the school that submitted the request. Clicking on the link will open the PPS Inside login screen.
