2011-2012 Information

SMT Tips

Remember to enter the correct year.
To work on your staffing plan for the 2010-2011 school year, enter 2011 as the Fiscal Year. Then enter your Department and Location ID numbers.  For the 2011-2012 school year you will enter 2012 as the Fiscal Year once the Spring Staffing begins on April 26th, 2011.

The 2012 SMT will be loaded with your current staff beginning April 26th. The Staffing Summary page provides an alphabetical listing of current employees who are Active or on a Leave of Absence from your Department/Location, as well as a list of known vacancies. Personnel whose employment will end before July 1, 2011, (e.g. retirees, temporary teachers, or hourly teachers) will not appear in the SMT.

For more help using the SMT, see the Budget SMT webpage or consult the SMT User Guide.

General Fund FTE Allocation Information

Finding your FTE allocations.
See the SMT page labeled "Allocations & Balances" to view FTE allocations for General Fund, Kindergarten Fee-for-Service and Title I. Your building's Special Education and ESL allocations can be found by accessing the SMTs for those departments plus your building location—department 5408 for ESL, and department 5414 for SpEd.

General Fund allocation categories. Most schools will see allocations in the 2012 SMT for Licensed Administrator, Kindergarten and/or Counselor FTE. If any of these allocations appear on your "Allocations & Balances" SMT page, you must use the
specified amount of FTE for those purposes. You may use more than the allocated FTE for Kindergarten and/or Counselor as long as you remain within the total General Fund allocation, but you may not use more Licensed Administrator FTE than is allocated. If you do not plan to use these allocations in full, please contact your Budget Analyst. Read how your counselor and kindergarten allocations were calculated on the Budget FTE Allocations webpage.

Understanding General Fund FTE allocations.
General Fund FTE is allocated by a series of staffing formulas based primarily on the number of students (as measured by Average Daily Membership (ADM) and adjustments due to reconfigurations, boundary changes, etc.) at your school. Read more about how your allocation was created on the Budget FTE Allocations webpage. If you have further questions about how your General Fund FTE allocations were calculated, contact Dona Lehr, Data and Policy Analysis (x63220).

Other Allocations

Kindergarten Fee-for-Service
is allocated in licensed equivalents for 2011-12 and will be listed as a single funding group in the SMT. Your balance in each funding group must be zero or positive in order to submit. If you have questions about how these allocations were calculated, contact Nancy Hauth (x63230).

Title I FTE for 2011-12 will not be loaded in the SMT until the school's Title I worksheet has been approved by the Title I Office.  There will still be two funding groups in the SMT: Title I (school-wide) and Title I Central (full-day kindergarten, in most cases). The school's Title I Budget Worksheet must be followed as you staff your Title I positions. Your balance in each funding group must be zero or positive in order to submit. Please contact Nicole Groth (x74944) or Susan Kosmala (x63231) with questions about how these allocations were computed.

ESL FTE is allocated as either ESL Licensed or ESL Classified FTE. These two categories are not interchangeable, and the balance in each funding group must be zero in order to submit. Consult the FAQs for the ESL/Bilingual Program on page 50 of the Staffing Handbook for more information. If you have questions about the computation of this FTE, contact Terry Coad (x74945).

Special Education FTE is allocated in several different funding groups, the details of which are seen on the “Allocations & Balances” page when you enter the SMT for the SpED department (ID 5414) in combination with your Location ID. Note that the FTE in these funding groups are not interchangeable, and the balance in each funding group must be zero in order to submit. See the Special Education FAQ’s on page 56 of the Staffing Handbook for more information. Please call Robin Malone (x63297) if you have questions about the computation of this FTE.

Foundation and ”Other” Funding do not have allocations. If you have reasonable confidence that funding for a position will continue in 2011-12, you are not required to unassign the employee. If you know funding for a position is ending, please unassign the employee in the SMT. See page 58 of the Staffing Handbook for a description of the Grant Staffing Process.  For questions regarding the Foundation, call Kate Massey at (x63755); direct questions concerning Other funding groups to Sharie Lewis at extension (x63153).
